Project – The Effect of Organisational Communication Channels on Employee Role Clarity: A Study of Selected Logistics Companies in Lagos State

CHAPTER ONE

INTRODUCTION

1.1 Background to the Study

Organisational communication is a fundamental process through which information, instructions, expectations, feedback and organisational values are transmitted among members of an organisation. The effectiveness of an organisation depends substantially on its ability to ensure that relevant information reaches the appropriate employee at the appropriate time and in an understandable form. Organisational communication may occur through formal and informal channels, including face-to-face meetings, memos, emails, telephone calls, instant messaging platforms, team briefings, reports and supervisory interactions. In contemporary organisations, communication is no longer limited to traditional downward instructions from management to employees, as employees also require opportunities to seek clarification, provide feedback and communicate operational challenges. Suh and Battaglio (2022) found that internal communication channels can play an important role in connecting human-resource practices with employees’ perceptions of organisational performance, demonstrating the strategic importance of communication within organisational systems.

Communication channels are particularly important because the same message can produce different outcomes depending on how, when and through which medium it is transmitted. Face-to-face communication, for example, allows immediate questioning and clarification, whereas written communication may provide a permanent record that employees can consult later. Digital communication platforms can facilitate rapid information sharing across geographically dispersed employees, but they may also create information overload or ambiguity where messages lack sufficient context. Lee (2023) found that formal information and communication technology use can satisfy employees’ informational and relational needs, while the effectiveness of communication also depends on how employees interact with and respond to the communication environment. Similarly, Nebolisa and Agazuma (2024) found that communication channels and technological communication tools were significantly associated with employee job satisfaction in a Nigerian organisational setting. These findings demonstrate that the choice and utilisation of communication channels can have important implications for employees’ understanding and experience of their work.

One of the important outcomes that may be influenced by organisational communication is employee role clarity. Role clarity refers to the extent to which an employee understands the duties, responsibilities, performance expectations, authority, reporting relationships and standards associated with his or her position. Employees require clear information about what they are expected to do, how tasks should be performed, who is responsible for particular decisions and how their performance will be evaluated. Where such information is communicated effectively, employees are more likely to understand the boundaries of their responsibilities and coordinate their activities with colleagues. Conversely, inadequate or inconsistent communication may create uncertainty concerning responsibilities and expectations. Suh and Battaglio (2022) demonstrated that internal communication is relevant to organisational alignment, while Ufuophu-Biri and Ayewumi (2022) found a significant relationship between organisational communication and employee-related outcomes in Nigerian organisations. This suggests that communication should be considered not merely as an administrative activity but as an important mechanism for establishing organisational alignment and employee understanding.

The relationship between communication and role clarity becomes even more important in logistics organisations because logistics operations involve the coordination of multiple activities, employees, locations and organisational functions. Logistics companies commonly undertake activities such as transportation, warehousing, inventory management, order processing, dispatch, freight handling, customer service and delivery coordination. These activities require employees to understand schedules, procedures, reporting lines, safety requirements, customer instructions and changes in operational priorities. A breakdown in communication can consequently result in employees receiving incomplete or conflicting information about their responsibilities. Yin et al. (2024) noted that contemporary work environments increasingly depend on rapid responses to work-related communication, particularly where employees must coordinate activities collaboratively. The communication demands associated with interdependent work therefore make the clarity, timeliness and accessibility of organisational information particularly relevant to logistics operations.

The logistics sector in Lagos State provides an important context for examining this issue because Lagos is a major commercial and transportation centre with extensive movement of goods and services. Logistics companies operating within the state may have employees working across offices, warehouses, dispatch centres, transportation units, customer-service departments and field locations. Such organisational structures can make communication more complex because employees may not always interact directly with supervisors or colleagues. Information may need to pass through several levels or channels before reaching the employee responsible for a particular task. Maiwada (2024) observed in a Nigerian organisational context that internal communication channels such as meetings, emails and memoranda are important for organisational coordination, although weaknesses in feedback mechanisms can contribute to communication breakdown and misalignment with organisational objectives. The relevance of effective communication is therefore heightened in organisations where employees depend on timely information to coordinate interconnected operational activities.

Another important consideration is the increasing use of digital communication channels within contemporary workplaces. Email, enterprise communication systems, mobile messaging applications, virtual meetings and other digital platforms have expanded the speed and reach of organisational communication. While these technologies can make information more accessible, they may also create challenges where employees receive numerous messages from different sources, instructions are changed without adequate clarification, or communication is fragmented across several platforms. Lee (2023) reported that information and communication technology use can influence internal communication satisfaction and employee engagement, while Yin et al. (2024) highlighted the growing importance of employee responses to work-related communication in collaborative work environments. Consequently, organisations need not only to provide communication channels but also to ensure that those channels are structured, coordinated and capable of delivering sufficiently clear information to employees.

In Nigeria, studies have established that organisational communication is associated with important employee and organisational outcomes, but relatively less attention has been given specifically to employee role clarity within logistics companies in Lagos State. For instance, Adetoro (2022) found that structured internal communication strategies and open communication channels were positively associated with employee-management relationships, engagement, satisfaction and performance in selected Nigerian companies. Similarly, Nebolisa and Agazuma (2024) reported significant effects of communication channels, technological communication tools and internal communication on employee job satisfaction. However, these studies largely examined outcomes such as job satisfaction, engagement, performance and employee relations rather than specifically examining whether communication channels enhance employees’ understanding of their organisational roles. This creates a contextual and empirical gap that warrants investigation among selected logistics companies in Lagos State. Therefore, this study seeks to examine the effect of organisational communication channels on employee role clarity among selected logistics companies in Lagos State.

1.2 Statement of the Problem

Effective organisational communication is expected to ensure that employees receive the information required to understand their duties, responsibilities, performance expectations and organisational procedures. However, the existence of communication channels within an organisation does not necessarily mean that employees receive clear and useful information. Messages may be delayed, incomplete, inconsistent or transmitted through channels that are unsuitable for the nature of the information being communicated. In such situations, employees may have difficulty determining what they are expected to do, whom they should report to or how they should respond to changing operational requirements. Suh and Battaglio (2022) demonstrated that the effectiveness of internal communication can differ across organisational contexts, indicating that the presence of communication mechanisms alone does not guarantee effective organisational alignment.

The problem may be more pronounced in logistics companies where employees perform highly interconnected tasks. Drivers, warehouse personnel, dispatch officers, customer-service representatives, supervisors, inventory officers and administrative employees may depend on one another to complete a single logistics process. If information about delivery schedules, customer requirements, inventory status, routes, work assignments or operational changes is not communicated clearly, employees may interpret their responsibilities differently. Such situations can produce duplicated tasks, omitted responsibilities, delays and uncertainty about accountability. Yin et al. (2024) emphasised the increasing importance of employees’ responses to work communication in collaborative environments, while Maiwada (2024) identified weaknesses in internal communication and feedback mechanisms as concerns within a Nigerian organisational context.

A further problem concerns the increasing dependence on multiple communication channels. Logistics employees may receive information through supervisors, meetings, emails, telephone calls, messaging applications, written instructions and organisational software. Although multiple channels can improve accessibility, they can also create confusion when the information transmitted through one channel differs from information provided through another. Employees may therefore be uncertain about which instruction is authoritative or whether a previous instruction has been replaced. Lee (2023) showed that digital communication technologies can satisfy employees’ informational needs but also highlighted the importance of communication processes in determining employees’ communication experiences. Therefore, the effectiveness of communication channels should be considered in relation to the clarity and usefulness of information received by employees rather than simply the availability of communication technologies.

The specific problem addressed by this study is the limited empirical evidence concerning how organisational communication channels affect employee role clarity in selected logistics companies in Lagos State. Existing Nigerian studies have established relationships between organisational communication and outcomes such as employee performance, engagement, job satisfaction and employee relations (Adetoro, 2022; Nebolisa & Agazuma, 2024), but these outcomes do not directly explain whether employees clearly understand their roles and responsibilities. Given the operational complexity of logistics organisations and the importance of accurate coordination, there is a need to determine whether formal meetings, supervisory communication, written communication and digital communication channels contribute to employees’ understanding of their work roles. This study therefore investigates the effect of organisational communication channels on employee role clarity in selected logistics companies in Lagos State.

1.3 Aim of the Study

The main aim of this study is to examine the effect of organisational communication channels on employee role clarity in selected logistics companies in Lagos State.

The specific objectives are to:

  1. examine the effect of face-to-face communication channels on employee role clarity in selected logistics companies in Lagos State;
  2. determine the effect of written communication channels on employee role clarity in selected logistics companies in Lagos State;
  3. assess the effect of digital communication channels on employee role clarity in selected logistics companies in Lagos State; and
  4. investigate the effect of supervisory communication channels on employee role clarity in selected logistics companies in Lagos State.

1.4 Research Questions

The following research questions will guide the study:

  1. What is the effect of face-to-face communication channels on employee role clarity in selected logistics companies in Lagos State?
  2. What is the effect of written communication channels on employee role clarity in selected logistics companies in Lagos State?
  3. What is the effect of digital communication channels on employee role clarity in selected logistics companies in Lagos State?
  4. What is the effect of supervisory communication channels on employee role clarity in selected logistics companies in Lagos State?

1.5 Research Hypothesis

The following null hypothesis will be tested at the 0.05 level of significance:

H₀: Organisational communication channels have no significant effect on employee role clarity in selected logistics companies in Lagos State.

1.6 Significance of the Study

The study will be useful to management of logistics companies because it will provide information concerning the role of communication channels in helping employees understand their duties and responsibilities. The findings may assist managers in identifying communication practices that facilitate clearer work expectations and more effective coordination among employees.

The study will also be beneficial to employees of logistics companies. Understanding the relationship between communication channels and role clarity may help employees recognise the importance of seeking clarification, providing feedback and using established communication channels when performing their duties. Improved role clarity may contribute to better understanding of responsibilities and reporting relationships.

The findings will be relevant to human resource managers and organisational development practitioners. Human resource departments may use the findings to strengthen internal communication policies, employee orientation programmes, supervisory communication practices and workplace information systems. The study may also provide a basis for identifying communication-related areas that require improvement.

The study will be useful to managers and supervisors in logistics operations. Since logistics activities require coordination among different categories of employees, supervisors need to communicate instructions, changes and performance expectations clearly. The findings may help supervisors understand the importance of selecting appropriate communication channels for different types of operational information.

The study will also contribute to the academic literature on organisational communication and employee behaviour. While previous Nigerian studies have examined communication in relation to performance, engagement, satisfaction and employee relations, this study focuses specifically on employee role clarity within selected logistics companies in Lagos State. It may therefore provide empirical evidence that can be used by future researchers examining organisational communication, role ambiguity, employee coordination and workplace effectiveness.

Finally, the study may be useful to policymakers and professional bodies concerned with workplace management and logistics-sector development. Evidence from the study may contribute to discussions concerning effective workplace communication, employee coordination and human-resource practices within organisations operating in Nigeria’s logistics sector.

1.7 Scope of the Study

This study focuses on the effect of organisational communication channels on employee role clarity in selected logistics companies in Lagos State.

The geographical scope is limited to selected logistics companies operating in Lagos State. The study will focus on employees working in selected departments and operational units of the organisations.

The content scope covers organisational communication channels as the independent variable and employee role clarity as the dependent variable. Organisational communication channels will be examined through face-to-face communication, written communication, digital communication and supervisory communication. Employee role clarity will focus on employees’ understanding of their duties, responsibilities, performance expectations, reporting relationships, authority and work procedures.

The study is limited to selected logistics companies and does not cover all logistics organisations operating in Lagos State. It also does not primarily examine other organisational outcomes such as employee job satisfaction, organisational commitment, employee motivation or overall organisational performance except where they are relevant to explaining the study variables.
