Project – Design and Implementation of a Mobile-Based Academic Management System in Selected Private Secondary Schools in Lagos

CHAPTER ONE

INTRODUCTION

1.1 Background to the Study

The rapid advancement of information and communication technology (ICT) has significantly transformed the way organizations create, process, store, retrieve and communicate information. The education sector is increasingly adopting digital technologies not only for teaching and learning but also for school administration, student records, assessment, communication and decision-making. A modern school requires timely and accurate information about students, teachers, attendance, academic performance, fees and other administrative activities to support effective management. Consequently, digital management systems have become important tools for improving the efficiency and reliability of educational administration. The Federal Ministry of Education has recognized ICT as an important component of educational administration and has emphasized the deployment of ICT resources to improve educational management and performance (Federal Ministry of Education [FME], 2019).

A school management system is a computer-based application designed to support the collection, storage, processing and retrieval of information required for the effective administration of a school. Such systems can integrate functions including student registration, attendance management, academic records, examination results, staff records, fee management, communication and report generation. The increasing use of management information systems in schools is associated with the need for administrators to have accurate and accessible information when making decisions. Yusuf, Ayoku, and Funmilayo (2022) observed that management information systems play an important role in the smooth operation of Nigerian secondary schools because information constitutes a strategic resource for organizational effectiveness. Similarly, Edim et al. (2025) emphasized that effective use of management information systems can support school administrators in carrying out different stages of the administrative process more efficiently.

The development of mobile technology has created further opportunities for improving school management systems. Mobile devices such as smartphones and tablets are widely used because they provide convenient access to information without requiring users to remain at a fixed computer workstation. A mobile-based academic management system can therefore allow authorized school administrators, teachers, students and parents to interact with relevant academic information through mobile devices. Such a system may facilitate access to attendance records, examination results, academic reports, announcements and other school-related information in real time. The integration of mobile technology into educational administration is consistent with the broader movement towards digital transformation, in which information systems are expected to make institutional processes more accessible, responsive and data-driven (UNESCO, 2023).

The need for effective digital academic management is particularly relevant to secondary schools, where large quantities of student information are generated and processed regularly. Teachers and school administrators are required to record attendance, assess students, prepare examination results, monitor academic progress and communicate information to parents and students. Where these activities are predominantly performed manually, they may involve substantial paperwork, repeated data entry, delays in retrieving records and increased possibilities of human error. Research conducted in Nigeria has shown that ICTs are already being used by school administrators for several management activities, although the extent and effectiveness of their use may depend on factors such as task characteristics, perceived ease of use and the suitability of the technology to administrative tasks (Ifinedo, 2017).

The Lagos State educational environment provides an important context for the development of a mobile-based academic management system because of the state’s large and technologically active population and its extensive network of secondary schools. Evidence from Lagos State indicates that school administrators have positive attitudes towards ICT, but implementation can be affected by inadequate equipment, poor internet connectivity, limited financial support, maintenance problems and insufficient training (Shobowale, 2023). These challenges demonstrate that the mere availability of digital technologies does not automatically result in effective technology adoption. Rather, systems must be designed around the actual needs of schools and their users, while considering infrastructure, usability, data security and the capacity of users to operate the system.

Private secondary schools in Lagos operate within an environment in which parents and guardians increasingly expect timely access to information concerning their children’s academic activities. Schools must also maintain effective communication among management, teachers, students and parents while ensuring that academic records are accurate and readily available. A mobile-based system can provide a platform through which examination results, attendance information, announcements, academic reports and other relevant information can be managed and accessed according to users’ authorization levels. Bello, Olisaemeka, and Osifila (2011), in a study involving secondary schools in Lagos State, found a significant relationship between management information systems and quality management in schools, emphasizing the importance of information quality, quantity, timeliness and relevance in school management.

Despite the growing interest in educational technology, many school administrative processes still depend on fragmented or manual methods, while available digital solutions may not adequately address the specific operational requirements of individual schools. Recent Nigerian research continues to identify challenges associated with the implementation of education management information systems, including the quality of information management and the capacity of institutions to implement and utilize digital systems effectively (Okeke, 2026). The Federal Government’s recent National EdTech Strategy also places emphasis on education data systems, interoperable education management information systems, digital assessment and real-time dashboards, demonstrating the increasing national importance of reliable digital education information infrastructure (Federal Ministry of Communications, Innovation and Digital Economy, 2025).

Against this background, the design and implementation of a mobile-based academic management system for selected private secondary schools in Lagos is considered necessary. Such a system can be designed to integrate important academic management functions into a centralized mobile-accessible platform, thereby reducing unnecessary paperwork, improving information retrieval, supporting timely communication and enhancing the management of student academic records. The system can also provide different levels of access for administrators, teachers, students and parents to protect sensitive information while ensuring that authorized users obtain relevant information when required. The proposed study therefore focuses on developing and implementing a practical mobile-based academic management system that responds to the administrative and academic information needs of selected private secondary schools in Lagos.

1.2 Statement of the Problem

The administration of secondary schools involves the continuous generation and management of large amounts of information relating to students, teachers, attendance, examinations, academic performance, fees and communication. In many schools, some of these activities are still handled through paper files, spreadsheets, individual computer applications or separate communication platforms. Such fragmented approaches can make it difficult to maintain a unified and up-to-date record of student information. Yusuf et al. (2022) noted that although management information systems are important to the effective administration of Nigerian secondary schools, challenges remain in their adoption and effective utilization.

Another problem concerns delays and inaccuracies associated with manual academic record management. Teachers may need to record students’ scores manually, transfer results between different documents and calculate grades before producing final reports. Where records are stored in different locations or formats, retrieving information about a particular student’s academic history can become time-consuming. Bello et al. (2011) established that information quality, quantity, timeliness and relevance are important to effective school management, suggesting that inadequate information systems can constrain the ability of school administrators to make timely and informed decisions.

The problem is also compounded by the limited integration of mobile technologies into academic administration in some schools. Although smartphones and other mobile devices are increasingly available, their use for systematic management of academic information is not necessarily integrated into a centralized school management platform. Research on ICT policy implementation in Lagos State secondary schools has identified inadequate ICT equipment, poor internet connectivity, limited financial support, maintenance difficulties and insufficient implementation capacity as challenges that can affect effective technology use in schools (Shobowale, 2023). These challenges indicate the need for a system that is not only technologically functional but also simple, accessible, scalable and suitable for the realities of schools in Lagos.

Furthermore, the absence of an appropriately designed mobile-based academic management system may limit the speed with which school administrators, teachers, students and parents access important academic information. Delayed access to results, attendance information, announcements and academic reports can affect communication and administrative efficiency. While studies have established the relevance of management information systems to school administration, there remains a practical need for systems specifically designed to combine academic record management, mobile accessibility, user authentication and efficient information retrieval within the context of selected private secondary schools in Lagos. This study therefore seeks to design and implement a mobile-based academic management system capable of addressing these identified challenges and improving academic information management.

1.3 Aim of the Study

The main aim of this study is to design and implement a mobile-based academic management system for selected private secondary schools in Lagos.

1.4 Objectives of the Study

The specific objectives are to:

  1. design a mobile-based academic management system for managing student and academic information in selected private secondary schools in Lagos;
  2. develop and implement modules for student registration, attendance management, academic records, examination results and related school information;
  3. evaluate the functionality, usability, accessibility and effectiveness of the developed mobile-based academic management system; and
  4. examine the extent to which the implemented system improves the efficiency, accuracy and timeliness of academic information management in the selected private secondary schools.

1.5 Research Questions

The following research questions will guide the study:

  1. What are the functional requirements for a mobile-based academic management system in selected private secondary schools in Lagos?
  2. How can a mobile-based system be designed and implemented to manage student registration, attendance, academic records and examination results?
  3. What is the level of functionality, usability, accessibility and effectiveness of the developed mobile-based academic management system?
  4. To what extent does the implemented system improve the efficiency, accuracy and timeliness of academic information management in the selected private secondary schools?

1.6 Research Hypothesis

The following null hypothesis will be tested at 0.05 level of significance:

H₀: There is no significant difference between the effectiveness of the existing academic information management process and that of the implemented mobile-based academic management system in selected private secondary schools in Lagos.

1.7 Significance of the Study

The study will be significant to school administrators because the proposed system will provide a more organized mechanism for managing academic information. Administrators may be able to retrieve student records, monitor attendance, access academic results and generate reports more efficiently. The availability of organized digital information can also support administrative decision-making and reduce dependence on scattered paper-based records.

The study will also benefit teachers by simplifying the management of attendance, students’ scores and academic records. Instead of relying exclusively on manual record books and separate files, teachers may use the system to enter and retrieve relevant academic information. This may reduce repetitive administrative work and allow teachers to devote more attention to instructional responsibilities.

Students may benefit from faster and more convenient access to relevant academic information. Depending on the access privileges incorporated into the system, students may be able to view results, attendance records, academic announcements and other approved information through mobile devices. This can promote greater awareness of their academic progress.

The study will further benefit parents and guardians by improving access to school-related academic information. A properly authenticated mobile platform can provide parents with timely information concerning their children’s academic activities, thereby strengthening communication between homes and schools.

The study will also be useful to school proprietors and policymakers because it will demonstrate how digital technology can be applied to improve school administration. The findings may provide useful information for private schools considering investments in educational technology and may also contribute to discussions concerning digital transformation and education management information systems in Nigeria.

Finally, the study will contribute to academic and technological knowledge by providing a practical example of the design and implementation of a mobile-based academic management system within the Nigerian secondary school environment. It may serve as a reference for researchers, software developers and students undertaking related studies in educational technology, information systems, computer science and school administration.

1.8 Scope of the Study

The study focuses on the design and implementation of a mobile-based academic management system in selected private secondary schools in Lagos State.

In terms of content, the system will focus primarily on academic and related administrative functions. These include student registration and profile management, attendance management, academic record management, examination and result management, announcements/notifications and generation or retrieval of relevant academic information.

The study will involve relevant users such as school administrators, teachers and students, while parents or guardians may be incorporated as users where appropriate to the design requirements of the selected schools.

Geographically, the study is limited to selected private secondary schools in Lagos State, Nigeria. The findings will therefore be interpreted within the context of the selected schools and should not automatically be generalized to all secondary schools in Nigeria.
