ABSTRACT
The study examined the role of efficient record keeping in church management, using Oshodi Archdeaconry Diocese as a case study. The study aimed to assess the types of records maintained, evaluate the effectiveness of record-keeping practices, determine the influence of efficient record keeping on decision-making and accountability, and identify challenges affecting record management. The study adopted a descriptive survey research design, with a population of 1,500 church members, 300 clergy and church workers. A sample of 250 respondents was selected using purposive and stratified sampling techniques. Data were collected using a structured questionnaire divided into demographic information and Likert-scale items covering the study variables. The data collected were analyzed using descriptive statistics (frequencies, percentages, and mean scores) and inferential statistics (Pearson’s correlation coefficient). Findings revealed that Oshodi Archdeaconry Diocese maintains membership, sacramental, and financial records, which support administrative operations. Efficient record keeping was found to positively influence decision-making and accountability, thereby enhancing overall church management. However, challenges such as lack of trained personnel, reliance on manual record systems, and financial constraints were identified as limiting factors. The hypothesis testing indicated a strong positive and statistically significant relationship (r = 0.762, p < 0.05) between efficient record keeping and effective church management. Based on the findings, the study concluded that effective record-keeping practices are critical to transparency, informed decision-making, and organizational efficiency in church administration. The study recommended the adoption of digital record-keeping systems, training of church personnel, regular audits, and allocation of adequate resources for record management. This study contributes to existing literature on church administration and provides practical guidance for improving administrative efficiency and accountability in faith-based organizations.
CHAPTER ONE
INTRODUCTION
1.1 Background of the Study
Churches, as faith-based organizations, occupy a central position in the spiritual, social, moral, and even economic development of society. They serve not only as places of worship but also as institutions that promote social cohesion, moral values, education, and community development. In many communities, churches provide support services such as counseling, charity, and youth development programs, making them important agents of societal transformation. As these responsibilities expand, the need for effective administrative systems to support church operations becomes increasingly important.
Beyond their spiritual mandate, modern churches operate as complex organizations that require structured management practices to function efficiently. Church administration involves planning programs, organizing personnel, coordinating activities, and controlling both human and material resources to achieve spiritual and organizational goals. Like other formal organizations, churches must adopt sound management principles to ensure efficiency, accountability, and sustainability. One of the most critical administrative tools that supports these management functions is efficient record keeping.
Record keeping refers to the systematic process of documenting, storing, retrieving, and using information for administrative, legal, and decision-making purposes. In church management, records may include membership registers, baptism and confirmation records, marriage and burial registers, attendance records, financial accounts, minutes of meetings, asset inventories, and pastoral reports. These records provide valuable historical data, serve as official evidence of church activities, and support transparency and accountability in church administration (Adesina, 2018).
Efficient record keeping plays a vital role in enhancing effective decision-making within church administration. Church leaders depend on accurate and up-to-date records to plan programs, allocate resources, evaluate performance, and monitor growth trends. For example, membership records help administrators understand population dynamics and participation levels, while financial records support budgeting, auditing, and responsible stewardship of church funds. In the absence of proper records, churches may experience mismanagement, poor planning, loss of trust among members, and overall operational inefficiencies (Ogunleye & Adeyemi, 2020).
In Nigeria, the rapid growth and diversification of churches, particularly in urban centers such as Lagos State, have increased the demand for professional administrative practices within church organizations. Many dioceses and archdeaconries now oversee multiple parishes, clergy, church workers, and large congregations. This expansion makes effective record keeping indispensable for coordination, supervision, and policy implementation. However, despite its importance, record keeping in many churches is often handled informally, with limited administrative training, poor storage facilities, and inadequate documentation procedures (Akinwale, 2019).
The continued reliance on manual record-keeping systems in many Nigerian churches presents additional challenges. Paper-based records are vulnerable to loss, damage, misplacement, and unauthorized access. Retrieval of information may be slow and inaccurate, especially when records are poorly organized. These challenges limit administrative efficiency and hinder timely decision-making, particularly in large church organizations where accurate data is essential for effective governance.
Within the Anglican Church, including Oshodi Archdeaconry Diocese, administration is guided by a structured ecclesiastical system that emphasizes order, accountability, and continuity. Records serve as legal and administrative evidence for sacramental rites, clergy postings, property ownership, financial accountability, and disciplinary matters. Efficient record keeping also ensures continuity during leadership transitions and preserves the institutional memory of the church. Despite these requirements, challenges such as inadequate documentation practices, lack of skilled personnel, and negligence continue to threaten effective church administration.
Against this backdrop, this study examines the role of efficient record keeping in church management, using Oshodi Archdeaconry Diocese as a case study. The study seeks to assess how record-keeping practices influence administrative efficiency, accountability, and overall organizational effectiveness within the church. By doing so, the research aims to provide empirical evidence that will inform improved administrative practices and strengthen church management within the Anglican Diocese and similar church organizations.
1.2 Statement of the Problem
Despite the widely acknowledged importance of record keeping in organizational management, many churches continue to face serious administrative challenges due to inefficient record-keeping practices. In numerous church organizations, records are poorly maintained, incomplete, outdated, or improperly stored. Such conditions often result in confusion, misinformation, and delays in administrative processes, thereby undermining effective planning, accountability, and informed decision-making in church management.
Inefficient record keeping affects the overall governance of churches by limiting access to reliable information needed for policy formulation and implementation. When records are not systematically documented or updated, church leaders may rely on assumptions rather than factual data when making decisions. This situation can lead to poor allocation of resources, ineffective program planning, and weak monitoring and evaluation of church activities.
In Oshodi Archdeaconry Diocese, as in many church institutions across Nigeria, concerns have been raised regarding the management of church records, particularly membership registers, financial accounts, and sacramental records such as baptism, confirmation, marriage, and burial registers. Inadequate record keeping in these areas may result in inaccurate financial reporting, loss of important historical data, duplication of administrative efforts, and difficulty in tracking church growth, membership trends, and participation levels.
Poor record-keeping practices can also give rise to disputes and misunderstandings within the church. Lack of accurate documentation may create challenges in resolving issues related to membership status, financial contributions, property ownership, and sacramental history. This situation can weaken transparency and accountability, reduce trust among church members, and negatively affect the credibility of church leadership.
Furthermore, the continued reliance on manual and paper-based record-keeping systems exposes church records to risks such as physical damage, loss, theft, and unauthorized access. Poor filing systems and inadequate storage facilities make retrieval of information slow and unreliable. The absence of standardized procedures, modern technologies, and trained administrative personnel further complicates effective record management, thereby limiting administrative efficiency.
Despite these persistent challenges, there is a scarcity of empirical studies that examine record keeping as a critical factor in church management, particularly within Anglican dioceses in Lagos State. This gap in knowledge highlights the need for a systematic investigation into how efficient record keeping contributes to effective church administration. Therefore, this study seeks to address this problem by examining the role of efficient record keeping in church management, with specific reference to Oshodi Archdeaconry Diocese.
1.3 Purpose of the Study
The main purpose of this study is to examine the role of efficient record keeping in church management in Oshodi Archdeaconry Diocese.
Specifically, the study seeks to:
- examine the types of records maintained in Oshodi Archdeaconry Diocese;
- assess the effectiveness of record-keeping practices in the management of the church;
- determine the influence of efficient record keeping on decision-making and accountability in church management;
- identify challenges associated with record keeping in the archdeaconry.
1.4 Research Questions
The following research questions guide the study:
- What types of records are kept in Oshodi Archdeaconry Diocese?
- How effective are the record-keeping practices in the management of the church?
- What role does efficient record keeping play in decision-making and accountability in church management?
- What challenges affect efficient record keeping in Oshodi Archdeaconry Diocese?
1.5 Research Hypothesis
The following hypothesis was formulated and tested at the 0.05 level of significance:
H₀: There is no significant relationship between efficient record keeping and effective church management in Oshodi Archdeaconry Diocese.
1.6 Significance of the Study
The findings of this study will be of great significance to church administrators, as it will provide deeper insight into how efficient record keeping enhances effective church management. By understanding the role of accurate and systematic documentation, administrators will be better equipped to plan, organize, and coordinate church activities. Efficient record keeping will enable them to access reliable information for informed decision-making, thereby improving overall administrative efficiency within the church.
The study will also be beneficial to clergy and pastoral leaders by emphasizing the importance of records in supporting pastoral care and spiritual oversight. Properly maintained membership, sacramental, and attendance records will assist clergy in monitoring the spiritual growth of members, planning pastoral visits, and ensuring continuity in ministry. This will strengthen leadership effectiveness and foster better relationships between church leaders and congregants.
Diocesan and archdeaconry leaders will find the study useful in promoting accountability and transparency across parishes. Accurate financial and administrative records will support effective supervision, auditing, and reporting within the diocese. The findings may also help diocesan authorities develop standardized record-keeping policies and guidelines that can enhance uniformity and good governance across church units.
The study will contribute meaningfully to existing literature on church administration and organizational management, particularly in the area of record keeping within faith-based organizations. By focusing on a church setting, the research will help bridge the gap between secular management studies and ecclesiastical administration, thereby expanding scholarly understanding of effective management practices in religious institutions.

The study is limited to the role of efficient record keeping in church management, using Oshodi Archdeaconry Diocese as a case study. The study focuses on administrative records, financial records, membership records, and decision-making processes within the archdeaconry.
